Privacy Statement
At PolarExplorers we respect the privacy of our clients and their personal information. We collect the minimum amount of data needed to respond to a request for information or to register someone on our expeditions.

The data we collect, including medical data and other personal data, is only provided to people who need to have it for the safety and success of the expedition.

​

We collect data typically via online forms, electronic forms and hard copy paper forms. The security of the forms is as strong as the email servers and the online servers used to create and transmit the forms (that includes your email server). We think it's smart to assume that anything online can be breached, and therefore, we can make any form available through PDF or hard copy which you can fill out by hand and send by post or by fax to us. Just let us know.

We may also collect information regarding the use of our website, including, for example, traffic volume, frequency of visits, etc.

Client information is never shared or sold for commercial purposes.

​

People who supply PolarExplorers with their email addresses may receive periodic emails about upcoming expeditions, etc. Upon request we will immediately cease sending these updates and offers.

Itinerary, Payment & Cancellation Terms

Itinerary - Polar travel by nature is very dynamic. Though PolarExplorers will make efforts to minimize changes in dates or activities outlined in the itinerary, it is important to understand that changes often occur, and we reserve the right to make necessary changes to accommodate changing weather, aircraft availability, political conditions, or any number of other variables beyond our control (ie pandemics, border closings, force majeure, etc.)

Payment - A deposit of 25% is required to confirm a reservation on any Polar adventure. Reservations are taken on a first come/first serve basis and space is necessarily limited. The deposit and final balance may be paid by check, wire transfer or credit card (a processing fee applies to all credit card payments). The balance is due 120 days prior to the start of the expedition (or by December 1 for North Pole expeditions). A wire transfer fee applies to all wire transfers.  Prices for North Pole expeditions are in Euro, and prices for all other expeditions and trainings are in USD.

Cancellation Policy - A 25% deposit will hold your space on any PolarExplorers expedition. This payment is refundable until 120 days prior to the expedition (or December 1 North Pole expeditions) less the following administrative fees (all fees are per person): NORTH POLE EXPEDITIONS - €1,000; SOUTH POLE EXPEDITIONS - $1,200; SOUTH POLE/VINSON COMBO EXPEDITIONS - $1,500; GREENLAND EXPEDITIONS - $500; SOUTH GEORGIA EXPEDITIONS - 20%; VATNAJOKULL EXPEDITIONS - $500; POLAR SHAKEDOWN TRAINING - $250; OTHER EXPEDITIONS - $500-$1,500. Because of the demand for many trips, we reserve the right to charge the balance against a credit card or resell the space if the balance is not received when due and/or cancel your booking and withhold the return of all payments.

Trip cancellation and Medical Evacuation Insurance are required. Purchasing insurance is your responsibility. We urge you to purchase trip insurance at the same time or within days of your initial deposit. This can be especially important if you have pre-existing medical conditions.

Every participant will need to complete a number of forms including a confidential medical form, a waiver, an insurance form and for some expeditions additional forms from third party logistical providers.
